Instructions for Presentations and Session Chairs

Thank you for contributing to the program of the 20th World Congress of the International Federation of Automatic Control. This page serves as a final reminder and briefing on your participation in the IFAC 2017 program. Please read it carefully and the Congress secretariat contact@ifac2017.org for questions. The program can be found here: https://ifac.papercept.net/conferences/conferences/IFAC17/program/. We encourage you to review it carefully and ensure that you are familiar with your program role(s), presentation dates and times.

Sessions are named with the following type of code: MoP05 where

  • the first two letters indicate the day (Mo, Tu, We, Th, Fr stand for Monday, Tuesday, Wednesday, Thursday and Friday respectively)
  • the third letter indicates the slot among: A (morning session between 10:00 and 12:00), M (afternoon session between 13:30 and 15:30), P (evening session between 16:00 and 18:00)
  • the last two integers indicate the session room (see below for correspondence).

Oral podium presentation instructions

In order to ensure smooth session operation, authors are requested to come to their session room at least 10 minutes before their session starts and report their presence to the Session Chairs.

Podium presentations are grouped into 2-hour sessions. Each presentation is allocated 20 minutes: 15 minutes to present and 5 minutes of discussion. Survey presentations are allocated 40 minutes: 30 minutes to present and 10 minutes of discussion. Please do not exceed the allotted time for your presentation.

Rooms for podium presentations (between brackets the session room code correspondence):

  • Level -1 at Palais des sports: Basketball (25), Rugby (26), Football (27), Hockey (28)
  • Level 0: Gavarnie (19), Toulouse (20), Conques (21), Cordes (22), Lourdes (23), Pic du Midi (24)
  • Level 0 at Le Manoir du Prince: L'Orangerie (30), La Galerie (31)
  • Level 0.5: Latécoère (05), Mermoz (06)
  • Level 1: Spot (07), Diamant (08), Argos (09), Cassiopée (10), Ariane 1 (11), Ariane 2 (12)
  • Level 2: St Exupéry Auditorium (13), Guillaumet 1 (14), Guillaumet 2 (15)
  • Level 3: Daurat (16), Servanty (17), De Marnier (18)

All rooms are equipped either with a beamer with 16/9 screen proportions and 1920x1080 resolution or a wide 16/9 TV screen. Both VGA and HDMI connections are provided. No computer is provided. Presenters are invited to bring their own laptop. An IFAC2017 volunteer will assist presenters with eventual technical issues.

There is no specification for presentations that may be done using any of your favorite software and may include video. Ensure yourself that the laptop used for the presentation displays properly the contents. For compatibility PDF files are recommended if you plan to borrow a laptop from a colleague. Sound display is not provided.

Oral podium session Chair(s) instructions

The chair and/or co-chair are expected to:

  • Come to the session room at least 10 minutes before the session starts;
  • Stay until the end of the session;
  • Ensure with the volunteer in charge of the room that the presenters have no technical problem to connect their computers and use the screen;
  • Check if at least one speaker is present for each contribution and check their names and affiliations. No-shows should be mentioned to the organization of the congress by using the session form;
  • Introduce yourself to the audience.

At the end of the session the chair and/or co-chair are expected to:

  • Acknowledge all the speakers and the audience, and close the session;
  • Fill in the session form and give it to the volunteer in charge of the room.

Specific guidelines for regular oral session chairs:

  • At the beginning of each talk, recall its total duration (20 minutes for a regular contribution and 40 minutes for a survey contribution, including questions and answers), introduce the speaker;
  • Comply with the timing by notifying the presenter a few minutes before the end of the time slot;
  • Allow for questions to the presenter and provide time for answers (for instance, repeat or reformulate the questions of the audience);
  • In the case of a no-show, maintain the initial schedule.

Oral interactive presentation instructions

In order to ensure smooth session operation, authors are requested to come to their session space at least 10 minutes before their session starts and report their presence to the Session Chairs.

Interactive presentations are grouped into 2-hour sessions. Each presentation is allocated 2 hours to present and discuss with attendees.

Spaces for interactive presentations are in Caravelle room (sessions 01, 02, 03, 04), at Level 0 of the Congress Center.

Each author is allocated to a stand consisting of a 46inches wide TV screen and a small table. Screens have 16/9 proportions and 1920x1080 resolution. Both VGA and HDMI connections are provided. No computer is provided. Presenters are invited to bring their own laptop. An IFAC2017 volunteer will assist presenters with eventual technical issues.

  • Check if at least one speaker is present for each contribution and check their names and affiliations. No-shows should be mentioned to the organization of the congress by using the session form;
  • Introduce yourself to the audience at the beginning of the session;
  • Make a short introductory talk about the topic of the session.

At the end of the session the chair and/or co-chair are expected to:

  • Acknowledge all the speakers and the audience, and close the session;
  • Fill in the session form and give it to the volunteer in charge of the room.

Demonstrator presentation instructions

Authors of demonstrator papers have been contacted individually prior to the Congress by the Demonstrators Chairs (demonstrators@ifac2017.org) in order to ensure proper installation of their demonstrator and appropriate scheduling of their presentation.

Demonstrator presentations are grouped into 4-hour sessions (sometimes more). Each presentation has to proceed following with the instructions agreed with the Demonstrator Chairs.
